Summary

The Treasurer oversees VPFC’s finances, helping us remain stable, transparent, and sustainable as we grow and transition into charity status.

This role will be shared with Sean Trend, who is leading on our charity conversion. The Treasurer’s focus will be on day-to-day financial management and introducing a proper accounting system to replace our current spreadsheets-and-bank-statement approach.

Key Responsibilities

  • Financial Recording đź“Š
    • Move the club from simple spreadsheets into an appropriate online accounting package (QuickBooks, Sage, Xero or similar).
    • Select a system suited to a grassroots club with relatively low income and transaction volumes.
    • Lead onboarding — set up categories, upload balances, and establish simple workflows for income and expenses.
    • Produce clear summaries and reports that give the committee visibility of our financial position.
  • Payments & Expenses đź’·
    • Process expense claims from volunteers quickly and fairly.
    • Coordinate equipment purchases and ensure suppliers are paid on time.
  • Reporting & Planning đź“ť
    • Provide straightforward updates to the committee and support preparation of annual accounts.
    • Work with the committee to manage budgets for Skills and League sections.
    • Support Sean in adapting practices for charity-level governance, including Gift Aid claims in due course.

Skills & Support

âś… Some familiarity with accounting tools or willingness to learn

âś… Organised and able to present information clearly

👉 The club will support you in trialling and choosing the right package — you won’t be expected to design it all alone.

Time Commitment ⏰

On average a few hours per month. The busiest times are:

  • Season start — collecting subscriptions and arranging new season equipment.
  • Season end — preparing annual accounts and managing FA re-affiliation.

This is a vital role in helping VPFC deliver affordable, inclusive football while moving towards the transparency and sustainability expected of a charity.
